Event Overage Calculations

for Explorer Subscribers
Overage Fees

There are two kinds of overage fees that can be generated, after an event ends:

  • Duration Overage: If the duration of the event was such that it exceeded your event hour balance, you will be charged $100 per quarter hour (or part thereof) of over-run. So, for example, if your event hour balance at the start of the event was 1:15 event hours (i.e. one hour and 15 minutes) and the event ran for 1 hour and 23 minutes, you will be charged for one quarter hour over-run, i.e. $100.

  • Audience Overage: By default, events of up to 1,000 attendees are included in your Explorer subscription. If you have an event with more than 1,000 attendees, you will be charge $1 per hour for all attendees in excess of your allowance. So, for example, if you run a 2 hour event and 1,100 people attend, you will be charged for 100 people for 2 hours, i.e. $200.

These overage charges are mutually exclusive and are calculated at the end of the event, based on the actual duration and attendance at the event. For example, if you host an event that exceeds both your event hour balance and your Audience Size allowance, you will incur an overage charge for each overage type.

Event Overage Quotes during Event Creation

Unexpected bills are never a nice surprise so, for your convenience, we have included an Overage Quote Estimator tool in the Create Event page.

That way, when you are creating an event, if you provide an estimate of the expected Audience Size and Event Duration, the Summary section of Create Event will give you a quote estimate, to assist you with any budgetary planning you may need to do for that event.

Paying Event Overages

You do not need to pay any projected overage fees in advance of an event. Event overage charges are calculated at the end of the event, based on the actual duration and attendance at the event.

You will receive a bill via email, at the email address associated with your account. Our Customer Success team will also reach out to you within 24 hours, at the phone number on your profile, to discuss payment options.

Payment terms are Due Upon Receipt and, if your payments are overdue by 14 days or more, you will no longer be able to create or host events until payment is received.
